Overview
PORTREX INC (“PORTREX,” “we,” “us”) operates a platform that residential service companies — in solar, HVAC, roofing, and remodeling — use to manage leads, proposals, estimates, contracts, financing, and customer follow-up. This Policy explains what information we collect across our marketing site, company workspace, customer portal, and related services (together, the “Services”), how we use it, and the rights you have.
The short version: companies use PORTREX to run their sales operations. We collect the data needed to provide that service, protect it with per-account encryption and strict tenant isolation, and never sell it. Most homeowner information in PORTREX belongs to the company that entered it — we handle it on their behalf.
Our role: controller and service provider
PORTREX serves two kinds of data, and our responsibilities differ for each:
- Account & business data. For information about our own customers — the companies and users who sign up for PORTREX — we act as the controller, and this Policy governs directly.
- Homeowner & end-customer data. When a company enters information about its own customers, that company is the controller. PORTREX acts as a service provider (a “processor”), handling the data only to provide the Services and on the company’s instructions. Under the CCPA/CPRA we do not sell or share this data or use it for our own purposes.
Information we collect
Account & business data
Names, work email addresses, phone numbers, company name, role, workspace settings, and authentication credentials for the people who use PORTREX.
Customer & homeowner data (entered by companies)
Contact details, property addresses, leads, appointments, estimates, proposals, contracts, project records, and related notes that a company records about its customers.
Financing application data
When a financing application is started through PORTREX, applicant-provided details may pass through our systems on the way to the chosen financing partner. Sensitive identifiers are encrypted at the field level and purged from PORTREX once submitted to the partner.
Usage & device data
Log data, IP address, browser and device type, pages viewed, and actions taken — used to operate, secure, and improve the Services.
How we use information
- Provide, maintain, and secure the Services.
- Authenticate users and protect against fraud and abuse.
- Send transactional messages — verification, receipts, and account notices.
- Route financing applications to the partner a company selects.
- Provide support and respond to your requests.
- Understand usage to improve performance and reliability.
- Comply with legal obligations and enforce our agreements.
Data retention
We keep information for as long as needed to provide the Services and to meet legal obligations. Signed contracts and audit records are retained for a minimum of seven years to satisfy electronic-records law. When an account is closed, operational data enters a grace period and is then permanently destroyed by cryptographic erasure of its encryption keys.
How we protect information
- Per-account envelope encryption. Each company’s data is encrypted with its own keys.
- Field-level encryption for the most sensitive identifiers, such as financial details.
- Strict tenant isolation enforced in the database so one company can never read another’s data.
- Audit logging of privileged actions and least-privilege access controls.
PORTREX is currently in a pre-launch testing phase. While we apply production-grade controls, please do not upload information you are not authorized to share during this period.
Your privacy rights
Depending on where you live, you may have the following rights over your personal information. California residents have these rights under the CCPA/CPRA:
Know
Request the categories and specific pieces of information we hold.
Delete
Ask us to delete personal information we collected about you.
Correct
Request that inaccurate personal information be corrected.
Opt out
We do not sell or share personal information for advertising.
To exercise a right, email privacy@portrex.app. If your information was entered by a service company, we will direct your request to that company, who controls the data. We will not discriminate against you for exercising any of these rights.
Children's privacy
The Services are intended for businesses and are not directed to children. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will remove it.
Geographic scope
PORTREX is offered to businesses in the United States. We do not target the Services to individuals in the European Economic Area or the United Kingdom; if that changes, we will update this Policy and add the protections those laws require.
Changes to this policy
We may update this Policy as the Services evolve. When we make material changes, we will revise the effective date above and, where appropriate, provide additional notice.

Our privacy team reviews every request — access, deletion, correction, or a general question about how your information is handled. If you are a homeowner, you can also contact the service company you worked with directly.
